  • Financial Management is the fastest Apptio solution to deploy and utilize. It requires one person with no advanced programming or DB skills needed, and data sets that are already in place.

ApptioOne Demand

Budgeting for demand is a challenging process, as spreadsheets and other customer solutions do not provide enough fidelity to generate accurate forecasts. Without specific insights into demand from business units, IT orgs do not know how much to budget and how to forecast costs.

ApptioOne Demand provides collaborative demand capture, planning and management tool that aggregates demand for IT services from the business units who consumer them to help organizations plan for the demand of the resources they provide to inform their overall IT spend, with integrated collaboration tools to communicate cross-organizationally and build plans as teams.

ApptioOne Demand enables users to cohesively structure their demand planning processes to more accurately and efficiently manage demand and reduce budget inaccuracies caused by limited oversight.

Why is this important? Inaccurate projections of future demand encourage budget padding and undercut investments in growth opportunities, which undermines partnership cross-organizationally. ApptioOne Billing

Mature IT organizations with Costing and Planning incorporated need a proper chargeback process for their organization. ApptioOne Billing aims to provide a defensible and predictable bill to business consumers that communicates IT costs in the language the business understands - providing increased transparency around the cost of delivering IT services and have shifting conversations with the business from cost to value. This leads to better partnerships with business stakeholders and more time for value-driven activities.

Benchmarking allows users to do their own discovery to find opportunities to improve based upon variances they find from benchmark data. We use ApptioOne as our primary source for costing out applications, projects, and services. It allows us to much more accurately determine the services driving our costs, using the ATUM model. It also provides us with the unit costing ability that supports business cases and strategic decision making. ApptioOne is what we use to charge costs back to the consuming businesses, providing transparency into the value or profitability of different business lines.

ApptioOne is used in a couple of different ways within my company. We look at cost of IT and the value it gives back to the business. UPMC is a healthcare company that I work for and we used ApptioOne to levergae the decision to go to a single EMR. Through this inititive we look to make more decisons this way. By looking closly at IT cost and value we save money to give the best patient care possible

At the moment we are using it to create mostly reports for finance and technology, showing the CIOs and as well the CTOs, different ways in which they could save their cost within their technology. So we are basically in the process of implementing reports for the different managers' areas.
  • Integrates a lot of data sources in which we could gather data and we can show that to our stakeholders.
  • Basically it's the interface of the product. It's not very user-friendly for the stakeholders. So they have a hard time trying to see the data because of the interface that the tool has.
I think for terms of cost transparency, showback chargeback is a very useful tool and one of the opportunities that it might have is how they can show the dashboards to the users.

We use the tool for a variety of different purposes, primarily for technology, showback, and chargeback. We use it to calculate costs for our applications, teams, and services, which we then use to help facilitate our chargeback model, which goes back directly to the business lines, and impacts their profitability. So it's very important that the Apptio model that we use and have built is accurate and maintainable and up to date with everything that changes in the business. We also use it for technology reporting, so not businesses, but straight directly in technology for application rationalization, a kind of team labor management between innovation-related work and app BAU work. We are also using it more now than ever for understanding our hybrid infrastructure world of cloud versus on-prem, what the cloud costs in terms of consumption versus shared services of cloud, the labor to support the cloud, and things like that. We have to report on that and have our tech understand it, look for areas of opportunity to decrease spending while maintaining the quality of the outputs is very important.
  • Does very well at handling complex allocations and automation. Also great at bringing in data automatically, manipulating that data, and allowing you to feed that data into a complex model. So all the behind-the-scenes stuff works really well. It's also pretty good at visualization. It has some similar capabilities like a Power BI and Tableau, but generally provides most of the visualization technology that somebody would need with the tool.
  • I would say the big thing is just the complexity sometimes on the reporting surface. It can be a lot of different buttons, and a lot of different tools, and it can be occasionally overwhelming for somebody to come in and see a report built one way and then look different in another place. So really maintaining consistency and how the reports look, how they function, is very important. So I would say just simplicity on the front end has been a little bit of a challenge for us. We've gotten better, but with training obviously things like that, but that's been the main challenge.
I would say for larger companies that don't have any sort of automation of their reporting today, so it's all done in Excel or it's all done in Power BI reports that are fed off of Excel documents, especially technology expense, it can be really helpful. I would also say companies that are early in their cloud journey, it can be helpful to start early. So that's a few that would be helpful. Not helpful, I would say companies that already have a really good handle of their technology spend via any tools they might have. So it can get to a point where they have multiple different tools. Apptio is one and multiple different sources of truth, and if you bring in Apptio later, people won't trust Apptio. So really if you already have a bunch of tools stood up, it's harder to bring in another.

  • It's able to aggregate various data sources, specifically financial and operational data across multiple systems. So even if the company has various systems internally, it's able to aggregate them to be able to paint one picture.
  • I think depending on the organization's use cases, some of the configuration could be very complicated and hard to manage over time.
It's best suited for mid-size to enterprise companies that have a large IT spend, both cloud and applications and end-user services that need the help to be able to aggregate the information and be able to paint the picture of what it costs. Not suitable, maybe a smaller company.

ApptioOne is currently used as the IT Financial Data single source of truth, as a first step it is helping us provide clear allocation of data by project, product, and business unit replacing a number of disconnected PowerBi dashboards. Apptio brings the ability to report on project TCO which is allowing us to simplify the way we manage our financials.

We use ApptioOne as a data consolidation and reporting tool. We are composed of several small corps and having the ability to see financial information in one consolidated view is tremendously beneficial for us. We primarily use ApptioOne to track/ report financial variance reporting.

I've implemented ApptioOne for 9 years, from R11 to R12. Would like to see more engineering work adding more functionality to the tool. IT Planning needs a way to add comments to actuals as many clients don't utilize the Variance Analysis functionality. Configuring in IT Planning would be great. Additional education on implementing IT Planning and Bill of IT would be very helpful.

ApptioOne is fantastic for large organizations who are just beginning to view IT as an Investment in the business and supporting the entire enterprise. ApptioOne may not make sense for smaller organizations, where IT costs aren't a big enough driver in the overall spend picture, or in companies that generally don't view IT as the focus of their cost drivers. Culture plays a big part in the perspective that an ApptioOne end user will have, where a culture that invites more transparency and subsequent scrutiny usually does well with Apptio's offerings.

Cost transparency for IT is our primary use case. That enables accurate budgeting and forecasting of technology cost for the organization. We use ApptioOne for reporting IT costs and cost drivers to executive stakeholders to drive accountability for decisions impacting technology cost. Apptio One helps us to understand and communicate the cost of IT in terms that resonate across finance, IT, and operations; namely by application, service line, and consuming business unit.
  • The ATUM model and its configuration provide a trusted taxonomy for costs
  • The participative planning and budgeting process enabled by the product increases transparency into forecasted cost and allows for understanding service options prior to costs being incurred.

Fantastic tool for IT financial management, a quick win for any IT finance team that wants to move away from spreadsheet based budgeting and planning. It enables cost center owners the ability to enter and manage budget line items so there's far more accountability for the budget plan. Cost transparency is a fantastic module but takes more time to configure, test, and educate users on the reporting.

We use ApptioOne as a cost allocation tool to provide insight into units costs at various levels of our IT Business. We use this to get to an Application TCO view where we can see the total cost composition of high cost apps in order to cut costs in redundant or under-utilized assets.

We use ApptioOne for IT planning and cost transparency modules. We do use some cloud. However, I don't work with that so I won't speak on that one. For me, we do the IT planning quite frequently - daily. It helps us do our yearly budgeting cycle, and it helps us with a day-to-day, monthly forecasting process. So we meet with our service owners every month, and we talk through any forecast updates. So this could be headcount, any new products or services they want, et cetera. So that's how we use the product.
  • What I like about the product is it's a great consolidation. In the past, we tried to use Excel, and we would have to do a lot of manual work to get some of the results that ApptioOne drives. So, one of my favorite parts about ApptioOne is quickly comparing previous budgeting cycles or plans to our current plan and see how we're trending, if we're meeting the plan, and if we're off or on, it makes it simple. It gives a great high-level overview regarding headcount dollars or travel dollars across the entire organization. We can quickly drill down into the detail we need, which is helpful.
  • Yeah, so one of the things that I've talked to our ApptioOne consultant, is once the actuals are imported into our planning system, we're not able to add comments or adjust the actuals without going back into the data and doing a lot of manual work. So it'd be nice to have a blank text field where we could write any comments into the actuals. That'd be really helpful and, to be able to adjust, not the dollars in the actuals, but kind of leave comments and group the actuals in a more detailed manner.

If you have data which reflects your actual spending and you have a means to also reflect your planned budget .ApptioOne is an effective tool to create displays and reports reflecting your environment.

This helps with what our services cost and how we can send the costs out to our business units. With the transparency on how we created the cost it helps with discussion on how to best use our IT spend dollars.

2. End-user adoption has been challenging due to users being overwhelmed with too much data

Our organization utilizes ApptioOne, specifically the IT Planning forecasting and budgeting module, to build our $300M+ budget from the bottom up. The module makes it easy to identify line items that should not be included in the budget, as well as items that can be highlighted as potential cost-saving initiatives. We successfully managed a 10% budget cut ($30M+) by using IT Planning, which wouldn't have been possible without the use of the module.
  • Bottoms-up budget approach
  • Numerous views of data/line items to highlight potential duplicates in budgeted items
  • Fully fleshed out labor roster that seamlessly rolls up into the total budget/forecast
  • Filters are sometimes "sticky" and do not reset, causing the user to continually repeat clearing filters
  • The ability to add a "vacancy factor" for different roles or account codes within the labor
  • Headcount is not necessarily correct on the KPIs. The system aggregates open positions by months left in the year, which makes the actual headcount much higher than shown
The IT Planning module within ApptioOne is great for companies with large budgets and numerous end users that need to access the same data. Each budget owner is able to make changes within the system instead of each different area sending finance Excel documents. Bottoms-up budgeting makes it easy to identify gaps in data or potential areas to remove for cost savings.

We currently use ApptioOne to manage the forecasting and budgeting for total IT Spend. We were primarily using spreadsheets and loading the details into our corporate financial management system and had very little visibility to total company view or spend tracking prior to formal monthly reporting. This made it very difficult for our delivery managers to asses how projects were tracking or give the organization the opportunity to redeploy unspent dollars.
  • Real time updates (everyone sees what you input in right away)
  • Automatic saving of details when changes are made (no lost changes)
  • Automatic calculation of internal labor spend
  • Ability to send other end users your layouts without making it public
  • The comparison calculations are confusing vs industry standard (comparing target to forecast shows as a negative is under spent) in my opinion.
  • Need the ability to expand all items in the view with multiple grouped items
  • No way to retract your mistake with an Undo button in my experience.
  • Ability to hide/grey out unused tabs in Contracts and Labor Activity
My teams have been able to self serve multiple times to get the details they are looking for when reviewing forecast vs actual spend. They can easily download their reporting needs to bring to their business stakeholders. They can view when other departments make forecasting changes to their projects and track their spending to their budget. They can sort their spend by project, cost type, or vendor easily. There are some difficulties when using the system for users who are not in it often so the ability to push layouts to users without making them public would be helpful as a person in IT Finance in my opinion.
